We are committed to protecting your personal information and respecting your privacy. Personal information is defined as any details that will enable you to be identified, such as ID numbers, telephone numbers, address, email address etc.  We will not pass your personal data to any third party without your express permission.

 Norwich Traffic Club Privacy and Data Policy

  1. The Norwich Traffic Club, hereinafter called “the Club” will only use the personal data it collects and holds on its members for the purposes of:

    • Management of the Club including administration of the membership application process and the membership Register.

    • Management of annual subscription receipts.

    • Keeping members informed of Club events and news.

  2. The personal data is collected from Membership Application Forms and written or email correspondence from members changing addresses and/or other contact details.

  3. What personal data does the Club hold?

    • Title, first (given) name, surname (family) name.

    • Address including post code

    • Age or date of birth if supplied

    • Telephone number(s), home; work; mobile as supplied

    • Email address when supplied

    • Company name (if still in business or employed) or last company name if Retired.

    • Position in that company/business

    • Preferred method of contact.

  4. The data is held in electronic and/or paper form by the Club Hon. Secretary at his/her private address. Archived paper data, relating to pre-June 2013 is securely stored in a locked room at the premises of Roy’s Motors, Sprowston Road, 242 Sprowston Rd, Norwich NR3 4HT and only accessible through the proprietor of those premises and the Hon Secretary. Should the proprietor of Rot’s Motors cease to be a Club Member alternative secure storage will be sought.

  5. Access to a member’s personal data is only available to the Officers of the Club.  Members are entitled to see the data the Club holds on them be application to the Hon. Secretary. Members personal data will not be disclosed to any third party without the prior permission in writing of the member.

  6. The Club will correspond with members, in accordance with their stated preferences by way of post, email and telephone.  A Members may change their preference as to how they receive information at any time by giving written notification. A record of their preference will be held in the membership register.

  7. If a member fails to Opt-in, their details will be retained while they continue to pay subscriptions either by cheque or standing order. However, the Club will not be able to correspond with them in any way.

  8. Former members’ details will be deleted from the club’s current membership register at the end of the season in which they resigned, became deceased or their membership lapsed.
